You can assign sales reps to specific customers based on territories or other criteria using Rep Codes. This feature helps ensure that reps only see the customers they are responsible for, improving both workflow and security.


To Assign Reps to Customers Using Rep Codes:

  1. Navigate to the Rep Table
    From the navigation bar, go to Users/Locations>Reps  and click on Edit Reps.



  2. Add a Territory/Rep Codes Column

    In your Rep Table, add a column titled Territory/Rep Codes if it doesn't already exist. Tag this column as Territory/Rep Codes. For each rep, enter a unique code, territory name, or identifier in this column (e.g., “George Francis,” “GF,” “NC,” or “Mid-Atlantic”). This code will be used to assign customers to reps.


  3. Assign Rep Codes to Customers

    In your Customer Table, enter the same code or name you used in step 2 under the Territory/Rep Codes column for each customer the rep should have access to.

    By doing this, you limit each rep’s access to only those customers associated with their specific territory or rep code.

    • If a rep is assigned multiple territories, separate the codes with commas (e.g., “GF, NC”).
    • You can also assign multiple reps to the same customer by adding multiple rep codes (e.g., “GF, AF” for two reps).


Pro Tips:

  • Rep Codes can be anything that clearly identifies the rep or territory. Common options include:

    • Rep’s name or initials (e.g., “George Francis” or “GF”)
    • Territory name or state (e.g., “NC” or “Mid-Atlantic”)
    • Unique identifiers like a number (e.g., “101” or “GF4587”)
  • Critical Columns:
    For the rep table to function correctly, make sure you include the following columns:

    • Email (Primary)
    • Rep’s Name
    • Rep’s Phone Number
  • When properly filled out, these columns ensure that the rep’s contact information appears on the buyer’s Shop landing page so customers know who to contact regarding their orders.

    Important: If these columns are not filled out or tagged correctly, you’ll see a red alert indicating that the information is missing or incomplete.
